College Catalog Procedures
COLLEGE CATALOG
Maintenance of the college catalog is an ongoing process throughout the year. Ask College Advancement (CA) to send Microsoft Word files and save them to a sharable OneDrive folder under Catalog 20xx-20xx. The documents from the current year’s catalog should be edited on a regular basis and saved for the upcoming catalog year. All changes should be accomplished with the track changes feature turned on and saved in this format. These same files will be converted by CA when the time comes for production of this publication. THE COLLEGE CATALOG SHOULD BE CURRENT DURING AT THE START OF FALL TERM ADVISEMENT (MID-JUNE). CHECK WITH LORI PLEASANT ABOUT THE DEADLINE FOR VETERANS’ AFFAIRS.
CATALOG YEAR IS FROM FALL TO SUMMER TERM COMPLETION.
The process for updating catalog;
- Work with Vice President to set up timeline during spring term for department edits. This timeline should be a window of about two weeks from the time you send out communication to deadline to receive changes.
- Communicate by email to the following campus departments; see previous emails in catalog folder; Management Team (copy all Staff assistants/Coordinators for the management team) Department Chairs (copy to VP)
NOTE:
COURSE CHANGES, DELETIONS, AND ADDITIONS, MUST BE SUBMITTED TO THE STATEWIDE COURSE NUMBERING SYSTEM (SCNS) FOR APPROVAL. THE MAJORITY OF THESE REQUESTS SHOULD BE APPROVED BY CURRICULUM WORK TEAM, WHICH IS PART OF FACULTY SENATE. YOU SHOULD HAVE A COURSE CHANGE CHECKLIST, MASTER COURSE SYLLABI, SUPPORTING DOCUMENTS, AND MINUTES FROM FACULTY SENATE.

PROGRAM CHANGES, ADDITIONS, CLOSURES MAY REQUIRE SACSCOC APPROVAL. CHECK WITH SACSCOC LIAISON FOR REQUIREMENTS.
